Notification Preferences
You decide which kinds of notifications reach you. Your preferences are organized into four simple groups. Turning a group off quiets it just for you — everyone else on your team keeps getting it.
This page explains where to find your preferences, what each group covers, and one important rule: your personal settings can only mute — they can never turn a notification back on that your organization has switched off.
Where to find your preferences
Your notification preferences live on the Settings page, in the Account section, under Notifications.
The Notifications section header reads:
Choose which notification groups you receive. Turning a group off silences it just for you — your tenant's defaults still apply to everyone else.
:::info Available to everyone Notification preferences are personal. Every user has them — you do not need to be an administrator to change your own. :::
The four notification groups
Each group is a simple on/off switch. On means you receive that group in both the bell and your email. Off means it is silenced for you in both places. All four groups start On.
| Group | What it covers |
|---|---|
| Task Activity | Assignment, completion, cancellation and approval notifications |
| Comments & Mentions | Task comment and @mention notifications |
| SLA & Reminders | Approaching deadlines, SLA warnings and breaches, escalations |
| Process & Requests | Process completion and service request notifications |
:::tip Group, not one-by-one You switch whole groups on or off — not each individual notification type. For example, turning off Comments & Mentions stops both task comments and @mentions together. :::
Turning a group off
- Open the Notifications section in your Settings.
- Use the switch next to a group to turn it off (or back on).
- A Save button appears once you make a change. Click it to keep your choice — it shows "Saving…" while it works.
- When it finishes, you'll see a "Notification preferences saved" confirmation.
Turning a group off stops both its bell notifications and its emails for you. Turning it back on starts them again.
The Save button only shows up after you change a switch. If you haven't changed anything, there's nothing to save.
The one important rule: you can only mute
Your personal preferences can only make you receive less, never more.
- If a group is on for your organization, you may turn it off for yourself.
- If your administrator has turned a group off for the whole organization, you cannot turn it back on for yourself.
In other words, your switches are a personal mute. They sit on top of your organization's defaults and can only quiet a group further — they can never re-enable one that has been switched off for everyone.
:::caution Some alerts always come through A few workflow-critical alerts — such as cross-department requests that need a manager's approval — are always delivered, even if you have muted a related group. This makes sure important approvals never get stuck. :::
What if I stop receiving notifications I expected?
- Check your groups. Open Settings → Notifications and make sure the relevant group is switched on.
- Ask your administrator. If a group is on for you but you still don't receive it, your organization may have turned that group off for everyone. Only an administrator can turn it back on organization-wide.
You can also ask the assistant to show your notifications — for example, task assignments, new comments, SLA alerts, mentions, and reminders.
