Uploading to Knowledge Base

Add documents to the organization's Knowledge Base so the AI can use them to answer your team's questions. Admin access required.


How to Upload

  1. Go to Knowledge Base in the sidebar
  2. Click Upload Document
  3. Drag and drop files or click to browse — up to 20 files, 50 MB each
  4. Choose the Permission Level — who can see the documents
  5. If you pick Department, select the Target Department
  6. Click Upload

Supported formats: PDF, Word, Excel (.xlsx), PowerPoint, text, CSV, Markdown, and images.


Choosing the Permission Level

The upload dialog offers:

A Team level also exists — it can be applied to a document after upload by changing its permission level in the document's detail panel.


Best Practices

  • Upload foundational documents first — handbook, HR policies, IT procedures
  • Keep documents current — outdated documents lead to wrong AI answers
  • Use clear file names"Employee-Handbook-2026.pdf", not "handbook_final_v3.pdf"
  • Watch permission levels — confidential material should never be Organization-level
  • Remove outdated versions when uploading a new one

After Upload

Documents are processed automatically. Once ready:

  • The AI can reference them when answering questions (within each user's access)
  • They appear in the Knowledge Base list with a permission badge
  • Duplicate files are detected and rejected
