Access Levels
Arketic uses a 5-level access system so documents are only visible to the right people.
The 5 Levels

When uploading to the Knowledge Base you choose from Personal, Department, Organization, or Confidential. The Team level is applied by changing a document's level after upload.
How It Works in Practice
- Department policy uploaded as Department for IT → all IT members can find it; the AI cites it when IT members ask
- Company handbook as Organization → everyone can find it; the AI uses it for policy questions from anyone
- Financial report as Confidential → only authorized users see it; others asking about financials get nothing from it
Changing a Document's Level
- Open the document in the Knowledge Base
- Click Change next to its permission
- Pick the new level (all five available; for Department, also pick the department)
- Save
Changes take effect immediately.
Important Rules
caution
- Access levels can't be bypassed — the AI strictly follows them
- A user never sees documents above their access — even through AI answers
- Changes apply instantly — restricting a document immediately removes others' access

Tips
- Start restrictive, broaden later — safer than the reverse
- Review levels periodically as teams change
- Use Confidential sparingly — only for truly sensitive material
