Project Files
Every project has a Files panel. Put the documents your team keeps referring to in there once, and they stay with the project — no re-attaching the same spreadsheet to every conversation, no emailing the latest version around.
Files in a project are shared. Everyone in the project sees the same list, and any member can add to it or clean it up.
Where the Files panel lives
- Click Projects in the left sidebar.
- Click the project you want to open.
- On the right-hand side of the project screen, scroll to the Files panel.
The heading reads Files, with the number of files in brackets once there is at least one — for example Files (3). Before you upload anything, you just see the drop area waiting for your first file.
The right-hand panels — Members, Instructions, Memory, and Files — are hidden on narrow screens. Use a wider window or a desktop browser when you want to upload or remove project files.

Uploading files
There are two ways to get a file into a project, and both accept several files at once.
Using the Upload link
- Open the project and find the Files panel.
- Click Upload at the top-right of the panel.
- Your computer's file picker opens. Choose one file, or select several at the same time.
- Confirm in the picker, and the upload starts straight away.
Using drag and drop
- Drag the files from your desktop or a folder.
- Drop them onto the dashed area at the bottom of the Files panel. It normally reads Drop files here or click to upload; while you are dragging over it, it changes to Drop files here and highlights.
- Let go, and the upload starts.
The dashed area is also a button. If you would rather browse than drag, click anywhere on Drop files here or click to upload — it opens the same file picker as the Upload link.
While the upload runs
When you select more than one file, they are uploaded one after another rather than all at once.
| What you see | What it means |
|---|---|
| A greyed-out percentage where the Upload link was | An upload is running. The Upload link is replaced by the percentage and stays disabled until it finishes — the number shows how far along the current file is. Wait for it to finish before starting another. |
| {file name} uploaded | That file is in the project. It appears in the list immediately. |
If a file cannot be uploaded, a short message names the file that failed. The rest of your selection carries on, so one problem file does not cancel the whole batch — just try that one again.
Stay on the project screen until the percentage disappears. Navigating away mid-upload can interrupt files that have not finished sending.
The file list
Each uploaded file gets its own row in the Files panel:
| On the row | What it shows |
|---|---|
| Document icon | Marks the row as a file. |
| File name | The name of the file as it was on your computer. Long names are shortened to fit the panel. |
| File size | How large the file is, shown underneath the name. |
| ✕ | Removes the file from the project. |
Rows are compact on purpose — the panel is a working list of what the project has, not a full document browser.
Removing a file
- Find the file's row in the Files panel.
- Hover over the row to reveal the ✕ on the right (on a phone or tablet it is always visible).
- Click it.
The file is removed right away and a {file name} deleted message confirms it. If something goes wrong, a Failed to delete file message appears and the file stays in the list.
Removing a file takes it out of the project for everyone, not just for you, and there is no undo. Make sure you still have your own copy of anything you might need later.
Accepted file types
You can upload:
| Type | Extensions |
|---|---|
.pdf | |
| Word | .doc, .docx |
| Excel | .xls, .xlsx |
| PowerPoint | .ppt, .pptx |
| Plain text | .txt |
| CSV | .csv |
| Markdown | .md |
| Images | .png, .jpg, .jpeg, .gif, .webp |
The file picker filters to these types, so anything else will not show up when you browse for a file.
If what you need is in an unsupported format, export or save it as PDF first. That keeps the layout intact and works everywhere in Arketic.
Who can upload and remove files
Anyone in the project — the owner and every member alike.
| Action | Owner | Member |
|---|---|---|
| See the file list | ✅ | ✅ |
| Upload files | ✅ | ✅ |
| Remove files | ✅ | ✅ |
Files are one of the parts of a project that is not reserved for the owner. Only Instructions, adding members, and archiving the project are owner-only — see Project members for the full breakdown.
Because every member can remove files, agree as a team on what belongs in the project. A short line in the project Instructions — for example, "keep only the current version of each brief here" — saves a lot of tidying up later.
Project files vs. My Documents
Both let you upload files, but they answer different questions.
| Project Files | My Documents | |
|---|---|---|
| Where you find it | Inside a project, in the Files panel | My Documents in the left sidebar |
| Who it belongs to | The project | You |
| Who sees it | Everyone in the project | You, and whoever you share it with |
| Who can remove it | Any member of the project | You |
| Best for | Material the whole team works from — briefs, reports, price lists, decks | Your own reference material and personal working files |
Use the project's Files panel when the file is part of the team's shared work. Use My Documents when the file is yours and you simply want it to hand.
Tips
- Upload before you ask. Add the file first, then start the conversation in the project — the material is already there when the discussion begins.
- Name files so others can read them.
Q1-campaign-brief-final.pdftells your teammates far more thandoc3.pdf. - Keep one version of each file. Two similar names in the list is how a team ends up working from the wrong draft. Remove the old one when the new one lands.
- Split by project, not by folder. The Files panel is deliberately simple. If a project's list is getting long, that is usually a sign the work should be two projects.
- Add teammates early. New members see every file already in the project, so they start with the same material as everyone else.
