Team & Dashboard

If you manage people, two extra tabs appear on the Tasks page: My Team and Dashboard.

  • My Team answers "who is working on what right now?" — every task in your team, grouped by person or shown as a flat list.
  • Dashboard answers "how is the team doing overall?" — headline numbers, distribution charts, weekly output, workload per department, and time-target performance.

:::info Managers and admins only Both tabs are hidden for regular team members. You see them if you are an admin or an executive, or if you manage at least one department. What each tab shows is always scoped to the departments you're responsible for — admins and executives see the whole organization. See Overview for the full tab list. :::

My Team

Go to Tasks → My Team. Above the content you'll see the line All tasks in your team, a department filter, and a view toggle.

My Team grouped view

Filter and view controls

ControlOptionsWhat it does
Department dropdownAll departments + each department you can accessNarrows the view to a single department. Left on All departments, you see your full scope — every department you manage, or the whole organization if you're an admin or executive.
Grouped / List toggleGrouped (default) or ListSwitches between per-person cards and a flat sortable table.

:::note Cancelled tasks are left out Cancelled tasks never appear in either My Team view. Deleting a task is how it gets cancelled — see Task Details. :::

Grouped view

The Grouped view puts one card per person, sorted alphabetically by name.

Card header — the person's initial in a circle, their name, and how many tasks they hold (for example 7 tasks).

Each row inside the card shows, from left to right:

ElementMeaning
Status dotGreen = Done, yellow = In Progress, grey = anything else (Backlog, To Do, In Review, Pending Approval)
Task titleTruncated if long
Time dotThe traffic light for the task's time target — see below
Priority chipRed for critical, orange for high, grey for medium and low
StatusThe task's current status in words

Click any row to open the full task details.

:::tip Reading the time traffic light The small round dot only appears when the task has a time target (from estimated hours, a start–end date range, or a policy target).

  • Green — comfortably inside the target; hover to see the percentage used
  • Yellow — three-quarters or more of the target is already used; hover to see the percentage
  • Red — the target has been passed (Over time), or the task was finished late (Late)

How targets are calculated is explained in Time Tracking. :::

Who a task is filed under

  • A task appears under every person assigned to it — so a task with three assignees shows up on three cards.
  • A task with no assignee appears under the person who created it.

List view

Switch to List for the same tasks as a compact, sortable table — the same table used on the My Tasks tab, with columns for ID, Title, Epic, Status, Priority, Assignee, Created, Due Date and Completed. You can sort by clicking a column header and change a task's status straight from the Status cell. The department filter you picked stays applied.

Full details of that table are in Kanban Board.

When nothing shows up

What you seeWhat to do
No tasks in your team yetNobody in your scope has an open task. Create one with the New Task button.
No tasks in the selected departmentThe department filter is too narrow. Use the Show all departments link right below the message to clear it.

Dashboard

Go to Tasks → Dashboard. The heading reads Dashboard, with a department dropdown on the right.

RoleDepartment dropdown
Admin / executiveIncludes an All Departments option and starts there, so the first thing you see is the organization-wide picture
Department managerLists only the departments you manage, and opens on the first one — there is no organization-wide option

:::caution If the dashboard can't load When the figures can't be fetched, the tab shows Failed to load dashboard data with a Retry button. Press Retry — if it keeps failing, check with your workspace admin that you still have access to the department you selected. :::

KPI cards

Six summary cards run across the top:

CardWhat it counts
Total TasksEvery task in the selected scope
ActiveTasks still being worked on
CompletedTasks that reached Done
OverdueTasks past their deadline
SLA Breach RateThe share of finished, time-tracked tasks that ran past their target. Shown as a percentage, with the underlying breached / total figure underneath. It turns red when it climbs above a fifth of the tracked work.
Avg ResolutionAverage time a tracked task takes from start to finish.

:::tip Breach rate is about finished work SLA Breach Rate compares tasks that already finished — on time versus late. Tasks still running don't move it. If the number spikes, check Overdue and the workload chart to see where the pressure is. :::

Task Status Distribution

A horizontal bar per status, each with its count on the right, showing how the selected department's tasks are spread across Backlog, To Do, In Progress, In Review, Pending Approval, Done and Cancelled. Statuses with no tasks are skipped.

A wide In Review or Pending Approval bar usually means work is waiting on someone, not on the doers — see Approvals.

Priority Distribution

The same style of bars broken down by Low / Medium / High / Critical, plus a row of colour-coded chips underneath giving each priority and its count at a glance.

Weekly Velocity (8 weeks)

A bar per week for the last eight weeks, with each bar's height showing how many tasks were completed that week.

  • Hover a bar to see that week's completed count and the hours logged against it.
  • Below the chart: the label Tasks completed per week on the left and the eight-week Total on the right.

:::tip Look for the shape, not the spikes One quiet week is normal. A steady downward slope over several weeks is the signal worth acting on. :::

Department Workload

One row per department, each with a segmented bar and a total on the right:

SegmentColour
ActiveAmber
DoneGreen
OverdueRed

The number at the end of the row is the department's active plus completed tasks. When a department has overdue work, the overdue count is appended in red — for example 24 (3!). A legend under the list repeats the three colours. If there's nothing to compare, the panel simply says No departments.

Blueprint Processes

How your ready-made processes are running, for the selected scope:

FigureMeaning
Total InstancesHow many process runs have been started
Success RateThe share of those runs that completed successfully
PublishedHow many process templates are published and available to start

Underneath, a set of bars breaks the runs down by state — Running, Completed, Failed and Cancelled.

Learn more in Start a Process.

Service Requests

How requests coming into your department are being handled:

FigureMeaning
TotalAll requests in scope
OpenStill waiting to be resolved
ResolvedCompleted requests

A single stacked bar below the numbers shows the split across request statuses — hover a segment to see which status it is and how many requests it holds.

More on handling these in Managing Requests.

SLA Performance

The bottom panel breaks time-target performance into five tiles:

TileMeaning
Total SLAsTasks with a time target being tracked
AchievedFinished within target
BreachedFinished past target
ActiveCurrently running against a target
Avg ResolutionAverage working hours to finish, in hours

:::note Targets come from the task, not from a manual setup A task gets a time target from its estimated hours, its start-and-end dates, or a policy target — in that order — and only your department's business hours count towards it. Set those hours under Tasks → Settings. See Time Tracking and Settings. :::

Tips

  • Start on the Dashboard, finish on My Team. The Dashboard tells you that something is off; the Grouped view tells you who it's landing on.
  • Use the department filter on both tabs. Comparing one department at a time is far more readable than an organization-wide roll-up.
  • Chase yellow dots, not just red ones. A yellow time dot means the task can still be saved; a red one means the target is already gone.
  • Overdue plus a rising breach rate usually points at capacity, not at effort — consider reassigning or re-scoping before deadlines slip further.

  • Overview — the whole Tasks page and who sees which tab
  • Kanban Board — the board and list view your team works in
  • Performance — deeper analytics, per-user drill-downs and CSV export
  • Time Tracking — how targets and time dots are calculated
  • Approvals — clearing tasks stuck in Pending Approval
  • Settings — business hours, board columns, tags and notifications
